Item Master

The first step of software implementation in any business is to create the name of items that are transacted there, by providing its brand, model, size, color, barcode etc… Here you can see item master in the create option; this is used for creating the various names of items. Once you created a name, it will be saved in the software for ever; you don’t need to create once again when the same item is transacted again in the business. There are lot of characteristic features are included in this item master window, a summary of these are explained in the following lines.









Features

Alternative units of items can be used for purchase and sale entries, so problems in the units can be easily solved. If an item is purchased as cartoon or box, you want to sale it as pieces or other small units; it’s made possible by using this feature.

Multiple selling prices can be set for a particular item as wholesale price, retail price, and discount price and it can be processed at the time of sale very easily. Different prices for different class of customers also can be allocated for a particular item; there by corresponding price will be automatically allocated in the sale entry when a particular class of customer is selected.

Name of items and barcodes can be easily changed by clicking change code and change barcodes respectively. If they are wrongly entered, that can be rectified even after transactions are entered by using the wrong one.

Items can be grouped into various classes or groups according to their type or nature. Unique or identical products having same nature of usage can be differently groped. E.g. Tide, surf can be grouped into detergents class, Pepsi, Coca-Cola can be grouped into drinks or beverages class. Main advantages of doing these procedures are users can take details of stock according to the item class or groups, if one item class is selected, the items included in that particular item class will be listed. And also sales reports can be generated according to the item class; there by sales on a particular item class can be differently understand.

Barcodes can be generated for each item by giving its cost and selling prices, and it can be printed out very easily. If cost code is allocated in the software, it will automatically come with the barcodes print if necessary. So selling price can be negotiated very quickly and cleverly with the customers.

Allocation of part numbers is a great thing for those enterprises they are dealing with spare parts and other things which are driven by part numbers. Users can do transaction entries by entering the related part numbers on behalf of entering its name, so accuracy and efficiency can be maintained.

Some users are giving importance to shelf for keeping their products differently, so this feature will be very helpful for them. Here we are providing the number or name of particular shelf in which the particular item is kept. There by users can easily find out the item from the numerous bunches of products by looking into the particular number of shelf.

Pictures can be allocated for products, so items can be identified by seeing its picture itself. Pictures will be available when you make sale entries if necessary by pressing Ctrl+G.

Maximum Qty, Minimum Qty and Reorder Qty can be fixed for each item, so alerts will appear if the specified level of qty is crossed. Main benefit of fixing this level is that, we can take right decisions at the right time by getting the alerts from the software. Purchase order can be processed when the minimum qty or reorder qty of particular item is crossed, there by product shortage can be eliminated and correct level of stock can be maintained at any time.

Assembly of items means assembling specified items to create a particular product, or adding items to a particular product. It is useful for supermarkets for creating their discount and promotional programs. Buy one get one free promotion programs are largely using this feature for assembling one item to another item. When the main item is sold out, the related items also get reduced accordingly as per predefined criteria. We are also developed merging functions for the advanced users for removing their unwanted items even there is transactional entries without affecting the accounts.

If users wants to inactive or disable an item from the entire software for a meantime or forever, it is made possible by clicking inactive option seen on the item master. One cannot see the items which are inactive on the software if the feature is enabled, this is very helpful for disabling those items which are wrongly entered or some items which are currently not transacting or using.

One or more barcodes can be allocated to an item if situation demands such option, so any barcodes which are included on a particular item can be useful for transaction entries.

Administrator powered users can convert item master to read-only mode, so another users can only possible to view the item master, edit feature will be disabled for them. So security and privacy can be retained.

Barcodes Print

Varieties of barcodes with various sizes can be printed for scanning the items, particularly the normal sizes 38x25mm, 26x15mm, weighing labels 58x39mm, dump labels 65x15mm, jewel tag 83x37mm etc… In the case of super markets they can use this option accordingly to print barcodes for different shelf, barcodes for weighing items such as vegetables & fruits and jewelry items also. Users can set company name, selling price, cost code, barcode bottom name, number of lines for item description, number of decimal places in cost code, and extra currency in barcode labels according to their requirements.

POS (Point of Sale)

Here we enter sales transactions by scanning the corresponding barcodes or entering the name of items. It is specially designed for enabling touch system in the POS window, so entries can be made quickly and easily. You can see lot of buttons on this window; this can be used effectively for various needs and situations. And also various shortcuts can be used for enabling or doing special things on the POS window at the time of sale, information about the same is also available at the bottom of the window.

Close Shift

Close shift is used for shifting or closing the shift of one person from the responsibility of doing sale entries in the POS window. After closing the shift another person can log in to the POS window by providing the date, opening balance and log on password, so security, privacy and responsibility can be retained and maintained. A close shift slip can be printed out with details regarding all cash and credit sale entries, details about item class wise sales, reports on various payments and receipts other than sales etc… All the details about cash transactions between the particular shifts will be available in the report even with various cash denominations.
